Connect Zoom to optyflo

Link a Zoom meeting or webinar to an optyflo event and your registrants arrive on their own. When the session ends, everyone is sorted by what they actually did — so the follow-up can be different for someone who stayed to the end and someone who never showed up.

Adding the app

    Open Connections

    Sign in to optyflo and go to Account → Connections. Zoom is the first card under Meetings.

    Click Connect Zoom

    You are sent to Zoom's own authorization page. optyflo never sees your Zoom password — you sign in with Zoom, not with us.

    Review the permissions and click Allow

    Zoom lists exactly what optyflo is asking for. Allowing sends you straight back to optyflo with the connection live.

    Link a webinar to a Zoom session

    Open any webinar in optyflo, go to the Setup tab, and pick one of your Zoom meetings or webinars from the list. optyflo imports its registrants immediately.

    Write the follow-up

    On the Messages tab, choose who a message goes to — everyone, or only the people who never came, left early, or stayed to the end — and pick WhatsApp or email. Reminders before the session are scheduled the same way.

What optyflo reads from Zoom

Your Zoom profile
Your name and email, so we can show which account is connected.
Your meetings and webinars
The list you pick from when linking a session.
Registrant lists
The people who signed up, so reminders have an audience.
Participant and absentee lists
Read after a session ends, to work out who joined, who left early, who stayed, and who never came.
Joined and left events, live
Received as Zoom event notifications while a session is running, so the attendance list is accurate as it happens.

What optyflo writes back

Meetings you create from optyflo
Only when you choose to create one here instead of in Zoom.
Registrants you add from optyflo
Only when you add someone to a linked Zoom session from inside optyflo.

Nothing else is written. optyflo never starts, ends, or joins a meeting on your behalf.

How your Zoom data is handled

Zoom data is used only to run your own events and messages. It is never sold, never shared with advertisers, and never pooled with another customer's data — every record is scoped to the workspace that authorized the connection. Access and refresh tokens are encrypted at rest with AES-256-GCM. Traffic to and from Zoom is TLS-encrypted, and incoming Zoom event notifications are verified against a signature before we act on them. The full statement is in our Privacy Policy.

Questions

Does optyflo record or transcribe my meetings?

No. optyflo never joins your meeting, never accesses audio, video, chat or recordings, and does not embed any Zoom SDK. It reads registration and attendance only.

Do I need a Zoom admin account?

No. optyflo deliberately does not request any admin-level report scope. Everything is read from your own meetings and webinars with your own permissions.

Where are my Zoom tokens stored?

On our servers, encrypted at rest with AES-256-GCM. They are never written to logs, never sent to your browser, and never exposed through our API. Only your own workspace can use them.

How do I disconnect?

Go to Account → Connections and click Disconnect on the Zoom card. That revokes the grant with Zoom and deletes the stored tokens. You can also remove optyflo from Zoom's own App Marketplace under Manage → Added Apps, which has the same effect.

What happens to my data after I disconnect?

The tokens are deleted straight away. Registrant and attendance records already imported into a webinar stay with that webinar so your past reports still make sense; deleting the webinar removes them.

Zoom shows a webinar but optyflo does not.

optyflo lists sessions from the connected account only. If the webinar belongs to a different Zoom user, connect that account instead. Click Check Zoom now on the webinar's Setup tab to refresh immediately rather than waiting for the next sync.
